The meeting was chaired by Brandy McLelland, Interim Director, Student Information Services.

System Updates

HR - Adria Edwards
  • We are reminded to complete the online race/ethnicity survey for employees.
  • 9.04 and 9.05 mods were added to the system last week.
  • Mods for faculty furloughs are going into the system tomorrow.
Finance - Robert Masuda
  • Configuration
    • Currently working on configuration and setup in a non-production consolidated environment.
    • A Common Financial System (CFS) consolidated database (non-production) test environment is scheduled to be released the week of October 4, 2010. Eight campuses are in the database.
  • The Finance Team is currently testing maintenance pack (MP) 2.03, 2.04, and 3.00.
Admissions - Michelle Taylor
  • Fall 2010 admissions are wrapped up.
  • The office is accepting applications for Spring 2011. Acceptance of grad students is up to academic departments, but for undergrads, upper division and transfer student applications, only, will be accepted until September 27. If someone applies and the the Chancellor's Office (CO) rules that admissions must stop, the application can be rolled over to Fall 2011 or the applicant can ask for a refund.
Catalog - Tracey Haney
  • Tracey is meeting with Information Technology this afternoon to discuss some ADA problems in the online catalog.
Class Schedule - Yvette Velarde
  • Yvette is building the Spring 2011 class schedule.

Student Records - Danielle Brinney

  • Thursday, September 16, is the last day students can add and drop classes. After the 16th, a student will get a "W" if s/he drops a class.
Transfer Credit/Advising - Diane Davison
  • All current plans are in production.
Financial Aid - Delores Lee
  • The office has disbursed $30 million so far and continues to review files.
  • A financial aid report is due at the CO on September 21.
Student Financials - Cecilia Patz
  • Cecilia introducted Brian Thiele, Manager, Student Financial Services, to the group.
College of Extended and International Education (CEIE) - Timothy Mozia
  • Timothy wants to hear more about the integration of financial aid into CEIE courses.
Hobson's - Donna Cruz
  • Donna listed the many mass e-mails and postcards she's sent to students and prospective students in the past months. The e-mails included invitations to new student orientations, invitations to campus tours, and an invitation to complete a survey.
  • Hobson's is able to tell Donna how many of her e-mails are actually opened by the recipients.

IRAP - Lisa Stallworth

  • Census data is due at the CO by close of business on September 27.
  • This report is in addition to other almost monthly reports due at the CO.
  • A Fall 2009 remediation report is due at the CO this month, also.
Advising - Merry Eyman
  • Merry introduced Loren Edwards, new academic advisor, to the group. Loren will bring UAC reports to future CSUG meetings.
  • Johnnie Conley is another new academic advisor in UAC, but he was not at today's meeting.
  • Merry thanked Lisa and IRAP for providing data about drop rates of students who've taken our math and English remediation to her.
  • A student who is newly on probation has to attend a STEPS workshop.
  • Online registration for STEPS follow-up workshops is now available.
  • Mandatory workshops for all freshmen begin October 4. Thirty-six sessions are being offered.
  • Loren has written an online tutorial for transfer students.
  • Grad check workshops are coming. They are not mandatory workshops.
  • Online advising is now available for BSN students.
  • Following unsuccessful remediation, 177 students have been disqualified from registration. However, the office continues to work with these students, the aim being to help them to become more successful.
  • Ninety-one percent of CSUDH students receive remediation. Many choose to take the courses during the summer at community colleges.
EOP - Katrina Hermoso
  • Summer Bridge ended August 11 with a student pass rate of 94% on math.
  • EOP will begin accepting applications for Fall 2011 on October 1.
  • CSUDH EOP office staff will be presenters at a CO event at the Long Beach Convention Center on September 22 and 23.
Technical - Michael Kelley
  • MP 10 has been applied to the test server. Finance and HR are running smoothly.
  • Ed is making updates to the portal for the University Library.

Knowledge Transfer - Upgrade to 9.0

  • Jim outlined the project timeline:
    • Following a January 2011 kickoff, implementation will be complete in 18 months.
    • The product will move to production on April 1, 2012. The system will be unavailable beginning March 29, 2012.
    • All campuses are supposed to be up with 9.0 by August 1, 2012, when Oracle ends support for earlier products.
    • We are not in the first wave, which includes Long Beach, Channel Islands, and Northridge.
  • HR will branch off into V9.1.
  • The product will offer accessible technology and less downtime in addition to new functionality (e.g., revised transcripts, tracking of graduates).
  • Analysts will start meeting in January 2011 on a regular basis. Timothy will be invited to join the group.
  • Next month the CSUG knowledge transfer will feature short talks by functional users.
  • Brandy asks everyone to document their current business processes.
  • Find 9.0 documentation on the CO's CMS website. Contact Yuki if you need login information.
  • CSU Long Beach has published its update plan.
  • The CSUDH CMS website will be reactivated.
