The meeting was chaired by Brandy McLelland, Interim Director, Student Information Services.

System Updates

HR - Robert Ronquillo

  • A large update was applied to the system last week.
  • Robert is participating in review sessions with the Chancellor's Office (CO).

Admissions - Brandy McClelland

  • Brandy introduced Michelle Taylor, the new Associate Director of Admissions, to attendees.
  • Spring 2010 admissions are closed.
  • November 30, 2009, was the priority deadline for admissions for the Fall 2010 semester.
  • Helen reports that over 16,000 people were admitted for Fall 2010.

Transfer Credit/Advising - Diane Davison

  • Diane is updating curriculum. CSUN rules have been added to the database, and she is working on adding CSULA rules to the database.
  • Brandy reminds us about EO 1037, effective Fall 2009: A student can take a class only three times. After the third time, the student must petition to take it again. Withdrawal data is in the system. If you have an EO 1037 issue, contact Diane or Brandy.

Financial Aid - Constance Chambers

  • Financial Aid (FA) dispersed over $40 million and is wrapping up processes for the fall semester.
  • FA is preparing to move to PeopleSoft (PS) V9.0.

College of Extended and International Education (CEIE) - Timothy Mozia

  • CEIE is now registering for Winter, Spring, and Fall 2010.
  • Students are limited to four units in the winter session. Brandy is observing increased interest in winter session, as is Dan, who notes that foreign students want to take classes continuously in order to finish their educations. A student can take more than four units if her/his instructor signs a form allowing it.
  • A spring intersession will be offered in 2010.

Student Records - Danielle Brinney

  • At this point in the semester, a student can drop a course only because of serious injury or illness and with signatures of the instructor, department chair, and Danielle. And at that, the drop has to be approved by a committee.
  • Brandy notes that our Spring 2010 registration is up over 2,000 FTE compared to Spring 2009.
  • Regarding a report delayed (RD): RD grades have to be cleared before a student can register. And RD grades can't be lapsed.

Hershey - Ken Simms

  • Ken is working with Hershey.
  • Merry requests that school names be added to transferred classes. Ken indicates that after the upgrade, indexing of schools will be added.

Advising - Merry Eyman

  • The office offered 25 probation workshops starting in October. Merry feels that they were successful and useful to students, and they relieve one-on-one appointments in the advisement center.
  • The Advisement Center is assisting the College of Business Administration's advising center with its SAPAC petitions.
  • Any student who has not successfully completed remediation is out at the end of Summer 2010 if the student has been here since Fall 2008 or before. The office will be deciding next week what to do about newer students who have not completed remediation.
  • Brandy indicates that a disqualified code is being added to PS. A "good" code will also be added so that if a student had an earlier probation code, the good code will indicate that the student is no longer on probation--and the student won't be discontinued on that basis.
  • Michael Galant reports that one of his students had an empty negative service indicator. Brandy has heard of this problem and requests that faculty send her the student ID numbers of such students.
  • Eight hundred twenty students have seen advisors since the week before Thanksgiving. And 20 students are coming to the front counter each day.
  • Two workstations will be placed in the lobby. Their purpose will be to provide advising information while students wait to see advisors.
  • Brandy says that a new information-filled postcard is being sent to students. The card lists many features to be found in MyCSUDH. And she indicates that even more new features will be added to MyCSUDH soon.

Educational Opportunity Program (EOP) - Katrina Hermoso

  • Ten thousand seven hundred five students indicated interest in EOP, and 603 followed through by registering with EOP.

New Student Orientation (NSO) - Marco Dowell

  • Mini-NSOs were scheduled for October, December 11, and January 7. The January NSO may be cancelled.
  • 2010 NSO dates: 5/15, 6/12, 6/25, 6/26, 7/9, 7/10, 7/23, 8/6, 8/7, and 8/24.
  • Seven hundred twenty-five students came to Summer 2009 NSOs. Marco's office hopes to serve up to 2,000 students this coming summer.
  • The student day planner is being updated. Marco indicates that an online version is needed.
  • Students need to know that the $50 NSO fee can be paid out of Financial Aid awards.
  • Marco hears positive reactions to Hobson's.

Technical - Michael Kelley

  • Oracle 10g is undergoing testing starting today. The update will be moved to production between 5 p.m. January 8 and 5 p.m. January 10. That is, PS will be down for the weekend. It may come up before 5 p.m. on January 10. Michael Kelley requests that units perform testing now and as quickly as possible on production after January 10. Some campuses have reported performance issues.
  • Michael Kelley is installing maintenance pack 7 today. It will be in production on December 19.
  • The College Scheduler fix is going in this evening. Gentry will test the fix, which takes care of an inoperative button.

Knowledge Transfer - Course Catalog (Tracey Haney) and Class Schedule (Yvette Velarde)

  • Catalog:
    • Some Spring 2010 updates are online now. All updates will be online by January 11.
    • Rules for repeating courses: These are being updated in the catalog.
    • Any updates to the online catalog are incorporated in the next printed catalog.
  • Class schedule:
    • There are two distinct parts to this document: a narrative, describing the calendar, departments, important phone numbers, etc., and the actual list of classes out of PS.
    • Scheduling is decentralized and created within departments, in coordination with the catalog. Yvette compiles the copy that's created in the departments to create the one university class schedule.
    • The creation of summer and fall class schedules is nearly simultaneous.
    • Michael Galant would welcome a list of classes, one line per class, for a department. It would be most helpful during advising. Yvette responds that the department schedulers have such a report; perhaps he can ask his department scheduler for a copy.
