October 13, 2009 Meeting Notes

The meeting was chaired by Brandy McLelland, Interim Director, Student Information Services.

System Updates

HR - Robert Ronquillo

  • Absence management is being reviewed.
  • Version 5.07 of HCM will be launched into production by 10/20. Robert is working with the SA people on the schedule for implementing maintenance packs.
  • Changes to eHire and eFast are in development.
  • Robert participated in a systemwide webcast on 10/6.

Finance - Jim Bersig for Robert Masuda

  • Robert Masuda is working on the systemwide Common Financials Systems (CFS). It will be launched in July 2010 or July 2011. The timing is in the hands of the CSU Executive Committee and the CSU VPs of Administration & Finance.

Admissions - Gayle Parker

  • We've received 452 applications for Spring 2010 admittance. The CO has limited our admissions to Extended Education, child development majors (because of funding by a grant), teacher education majors, and transfers from Long Beach City College, with which we have a special program. We cannot admit lower division transfer students, students who are called "exceptions," students working on second bachelor's degrees, and students for which a program is undefined.
  • We have 1,895 applications for Fall 2010. Regarding transfer students in F10: They must have completed 60 units and have basic coursework completed by Spring 2010.

Course Catalog - Yvette Velarde for Tracey Haney

  • The 2009-11 catalog has arrived and is online. Updates will be added to the Web site in the Spring 2010 semester.

Class Schedule - Yvette Velarde

  • We will not have a hard copy schedule for the Spring 2010 semester. Watch for an e-mail this week, inviting readers to view the online Spring 2010 class schedule. With all the uncertainty about classes right now, limiting the class schedule to an online edition makes it easier to modify. It is a basic HTML file, easy to update.
  • Another benefit of the online class schedule is the ease with which a student can find a class, then find its actual scheduled times and place (as recorded in PeopleSoft) through the Schedule Planner.
  • Action: Brandy asks that links to the online catalog and class schedule be added to the portal. (Donna Cruz and Ed Liao will be asked to work on this.)
  • Spring 2010 registration begins November 9. A student will be able to view the Schedule Planner once her/his appointment time has been reached.

Student Records - Danielle Brinney

  • Records is preparing for the Spring 2010 registration by discontinuing students who were admitted for Fall 2009 but did not register. An e-mail to students about Spring 2010 registration will follow Yvette's e-mail to students about the availability of the Spring 2010 class schedule.

Transfer Credit/Advising - Diane Davison

  • Diane is working on our compliance with the CO's repeat/withdraw rules, outlined in EO 1037, which limit repeats to 16 units and withdrawals to 18 units for a student’s career.

Financial Aid - Juan Carlos Mejia

  • Financial Aid is waiting for Version 6.0, reported by Brandy to be in testing.

College of Extended and International Education - Timothy Mozia

  • CEIE is preparing for November 11, when Winter 2010 and Spring 2010 registration begins.

Hershey - Ken Simms

  • A test station has been installed in Admissions & Records.
  • A Hershey conference provided a couple of useful tricks.

Hobson's - Gayle Parker

  • Prospective students are receiving e-mails and cards inviting them to apply now.
  • A Day at Dominguez is scheduled for October 24.

Institutional Research, Assessment and Planning (IRAP) - Lisa Stallworth

  • IRAP is finalizing its Summer 2009 reports.

Educational Opportunity Program (EOP) - Katrina Hermoso

  • Imelda introduced Katrina to the group. Katrina is a new EOP counselor.
  • Katrina reports that EOP is accepting applicants to the EOP program. Advising workshops are coming up. EOP students have priority registration on November 9.

Technical - Yuki DeSoto

  • We are preparing for the 9.0 upgrade. The timeline is uncertain, though we're preparing as if the launch is January 2010. The CO is "developing foundational knowledge" now. The CO had planned a 15-month timeline.
  • The CO's Steps to Success videocast is now available online. Action: A link to the information will be e-mailed to CSUG.
  • In light of the 9.0 upgrade, Brandy reports that we're very selective now about the mods that we implement.

Knowledge Transfer - Reporting - Gentry Robertson & Ken Simms

  • We have to resurvey the ethnicity of continuing students in order to conform with new federal coding. (The new coding was used for new Fall 2010 students in the first place.) The modified coding is not required.
  • Elcee raised a question about the state controller's [old] ethnicity coding that is required in Payroll. The state coding appears to be very different from the new federal coding. Action: Jim will ask the CO how to reconcile the different codings.
  • If you need a new report [not an existing query], send the request form to Helen Remigio, who will assign it to a developer.
  • Comma-separated value (CSV) and Excel file formats are the most useful output formats.
  • If you need a mod, contact Brandy or Jim.
  • Adria asked for a soft copy of the report request form so that she can modify it for HR report requests.
  • Brandy says that requesting an e-mailed PDF report works for most reports.

Knowledge Transfer - Self-Service - Helen Remigio, Danielle Brinney, Diane Davison

  • Helen notes that a red star by the SID on the Lookup a Person page indicates that the person is an employee, and any changes to name and Social Security Number must be done in HR.
  • Danielle described the career and program fields in PS.
  • In response to a question from Michael, Diane explained that the phrase "tran" in degree progress means that the indicated course did not have a CSUDH equivalent. Further, it can say "tran GPA" or "tran no GPA" to indicate whether or not the indicated course applies to the student's GPA.
